Order Products

It’s easy to order product from us – just follow the directions below. It’s even easier when you rely on your local rep to help you through it!

All orders must be submitted in writing and are subject to acceptance by Grand Rapids Chair Company in Grand Rapids Michigan. Orders will not be processed unless they contain all necessary information for production. Orders without all required information will be held in our sales office until the necessary information is supplied and will not be scheduled into production until that time.

Ordering Information

Minimum Orders

For orders less than $250.00 net, a set-up/handling fee of
$50.00 will be charged.

New Accounts

To expedite the credit approval process, please fill out a credit application that can be furnished to you by calling the sales office in Grand Rapids at 616.774.0561. Allow thirty (30) days to process a credit application.

We accept VISA, MASTER CARD, DISCOVER, AND AMERICAN EXPRESS. We encourage customers ordering less than $1,000.00 net of product to use their credit cards for mutual convenience.

Customer's Own Material (COM)

Please consult the factory prior to placing your C.O.M. order. We may be able to supply material at a lower cost due to our volume discounts with the textile mills.

A sample swatch must be supplied with the order along with the supplying textile company and a description of the material (pattern, color and any accompanying numerical description). We accept no responsibility for costs incurred or replacement material if the mill sends the incorrect fabric.

Add 10% to the yardage of material required for striped or other material requiring matching patterns. All of the yardage requirements in our price list are based upon a 54" wide roll. Yardage is approximate and we will not be held responsible if additional yardage is required. If the C.O.M. is striped, patterned or has a unique design, directions must be given as to upholstery application.

If no directions are stated on the order or in a subsequent “confirmed and acknowledged” document, Grand Rapids Chair Company will upholster the product in what we deem to be the appropriate manner. We assume no responsibility thereafter.

Grand Rapids Chair Company assumes no liability as to the flame retardance qualities of C.O.M.

Acknowledged ship dates are dependent upon the timely receipt of C.O.M. Delays in receiving the C.O.M. will result in the rescheduling of production.

Customer’s Own Leather (C.O.L.) will add 10% to the list price of C.O.M. in our pricelist.

We maintain the right to refuse the use of any customer supplied material that is not suitable due to pattern, stretch, weight or workability.

All C.O.M. must be shipped prepaid and clearly marked with your company name and purchase order number.

Laser Engraving

There is a graphic set-up fee of $50 net per image per order with the proper artwork, $100 net per image without the proper vectorized artwork. $15 list per side for each application 6" x 6" or smaller. California Bulletin 133

Chairs can be constructed to meet California Bulletin 133 Fire Code add $63 list per yard of fabric. Testing, sampling and freight charges will apply as required.

Resale Rights

The only resellers who have a continuing right to purchase products from Grand Rapids Chair Company are those who have become authorized Company Dealers/Agents/Representatives, pursuant to written agreements with the Company. By accepting orders from resellers who are not authorized Company Dealers/Agents, we make no representation or promise, express or implied, that it will continue to accept such orders on subsequent occasions.

Cancellations/Changes

Any cancellation or change in order to Grand Rapids Chair Company is subject to our approval, and will result in an order cancellation fee to the customer of all applicable costs plus a reasonable profit of 10%. All orders are considered firm orders and cannot be canceled without our written permission.

Returns

No merchandise may be returned for credit without an approved return material authorization. The nature of our products inhibits most return requests. For items returned, a restocking fee of 10% will be assessed for all items. Products shipped to the factory without written return authorization will be refused.

Delivery

Grand Rapids Chair Company will ship orders with normal shipping times. Special requests will be honored if possible. Once production has begun, orders cannot be held for extended delivery. It is the customer’s responsibility to accept and store the furniture if there is an installation delay. Grand Rapids Chair Company will not be responsible or liable to purchaser for any damages whether incidental, consequential, or otherwise for failure to fill orders, delays in delivery, or any error in filling the order.

Freight

Risk of loss shall pass to the seller upon delivery of goods to a carrier. GRAND RAPIDS CHAIR COMPANY IS NOT RESPONSIBLE FOR DAMAGE IN TRANSIT, OR DELAYS IN TRANSIT. It is the customer’s responsibility to inspect every delivery for possible freight damage upon delivery. It is also the responsibility of the customer to file freight claims for any damaged goods. Claims should be filed with the common carrier immediately upon discovery of such damage. Visible freight damage should be noted on the freight bill prior to taking receipt of the order. Concealed damage claims must be filed within 10 days of receipt of shipment. C.O.D. shipments are subject to the freight carrier’s fees for C.O.D. shipments.

Matching Goods Orders

If you request that we match a previously produced order for its finish and upholstery treatment, we may require a sample of the original chair, table or table base to be sent to the factory, at your expense, for our reference. It must be clearly stated on the order that we are to match a previous order. Please provide the invoice number and date of the previous order. We are not responsible for materials discontinued by our suppliers. We reserve the right to make design changes which improve the construction of our product and therefore, it may be impractical to duplicate some designs.

Maintenance

Routine maintenance is recommended to maintain the longevity, durability and beauty of your new furniture. This includes regular cleaning and polishing, tightening of screws and careful examination of any welds and joints every 30 days. Any product showing defects should be immediately taken out of service and reported to the factory.

PLEASE NOTE THAT ALL ORDERS WILL BE ACKNOWLEDGED WITH AN ESTIMATED LEAD TIME WHICH DOES NOT INCLUDE THE TIME ELAPSED IN GATHERING PERTINENT INFORMATION FROM THE CUSTOMER REGARDING THE ORDER. OUR PRODUCTION CYCLE STARTS WHEN THE ORDER IS ENTERED AND WILL NOT BE ENTERED UNTIL ALL THE NECESSARY INFORMATION FOR PRODUCTION AND DELIVERY IS FURNISHED TO OUR SALES OFFICE, INCLUDING DELIVERY OF C.O.M., CUSTOM STAIN MATCHES AND CUSTOM PRINT ACCEPTANCE.

Customer’s Responsibility

It is the customer’s responsibility to check the accuracy of each and every order acknowledgment sent by the factory. We will execute your order as written and do not accept any responsibility for errors on the customer’s part. We will, of course, make every effort to find inadvertent errors in your order, but do not accept any responsibility for orders being processed incorrectly as a result of customer error.

Ordering Tables

When placing your order, please note that we must have the following product information before we can proceed with manufacture:

  1. Model number of table (indicated by Base Style in the price list)
  2. Quantity of each separate line item
  3. Edge selection – type and color
  4. Top surface selection (Plastic Laminate, Wood Veneer, Vinyl or Solid Wood)
  5. Color of top selection
  6. Metal base finish
  7. Any accessories to be included
  8. Any custom considerations
  9. Shipping address and date of required shipment
  10. Prepaid or freight collect

Table numbering system

The lettered prefix of each table product number designates the base style. The numbered suffix designates the table size. For example, table model number SP36S-VINTEE designates a Spartan series table (cast iron base) with a 36" x 36" square top, a 30" x 30" base, with a vinyl “T” molding.
